We only collect information that is necessary for the purpose it is collected for.

3. How we use it

Donations

To process your donation, send you a receipt, manage Gift Aid claims with HMRC, and keep you updated about the impact of your giving.

Volunteering

To process your application, arrange an induction, manage your volunteer record, and stay in contact about your role.

Hall hire

To process your enquiry or booking, manage payment, and send you relevant booking information.

Newsletter

To send you our monthly email update. You can unsubscribe at any time using the link in any email we send.

General enquiries

To respond to your message and direct it to the right person in our team.

We rely on the following lawful bases under UK GDPR:

Contract — to fulfil a donation, booking, or volunteer agreement

Legal obligation — for Gift Aid claims and safeguarding records

Legitimate interests — for internal record-keeping and operational purposes

Consent — for marketing emails and optional cookie categories

Where we rely on consent, you can withdraw it at any time by contacting us or using the unsubscribe link in our emails.

5. Who we share with

We do not sell your personal data. We may share it with:

Stripe — to process payments securely

GoHighLevel — our CRM and website platform

Google Analytics — for anonymised website analytics (with your consent)

HMRC — for Gift Aid claims where applicable

Strive Creative — our website and CRM management agency

All third parties are required to handle your data securely and in accordance with UK data protection law.

6. How long we keep it

Donation records — 7 years (HMRC requirement)

Gift Aid declarations — 7 years from the last donation claimed

Volunteer records — duration of volunteering plus 3 years

DBS check records — 6 months after the check date

Hall hire records — 3 years

Marketing consent records — until you unsubscribe or withdraw consent

General enquiries — 2 years

7. Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you

Correct inaccurate data

Request deletion of your data (subject to legal obligations)

Restrict or object to how we process your data

Withdraw consent at any time

Data portability — receive your data in a structured, machine-readable format
